Worklogs subsection

Overview

The Worklogs subsection contains worklog settings. You can set scope of projects, issues, issue statuses on which your team members are allowed to work and to log time. You can manage worklog attributes list, so your team members can tag worklogs with specific information. You can also see worklg visibility setting in Data Center.

How to set issue scope where team members can log time?

You can restrict worklog creation, so your team members can log time only to chosen projects, issues, tickets with specific issue statuses and issues, that match selected filter.

You can easily switch to JQL and type a JQL request, and team members will be allowed to log time only to issues, that match JQL request.

You can see total count of tasks that match the selected scope between Switch to JQL/Switch to basic view and Apply filtering.

To apply the changes, please click on Apply filtering button.

Please note, that this scope selector does not overwrite Jira project permissions. So if the user does not have enough permissions in a project, user will not get them, if the project is selected in the picker.

Worklog visibility (Data Center)

Worklog visibility is set while creating a team. There are two types of worklog visibility: public and secured.

Public worklogs are created and processed as normal Jira worklogs.

Secured worklogs are visible only for permited team members, who can see or manag worklogs of other team members. No worklog related data can be found in the standard Jira tabs of Activity panel in a ticket.

Please note, that:

  • secured worklog visibility is currently available only in the Data Center. It is planed to implement this option in Cloud in 2024.

  • worklog visibility cannot be changed after team creation.

Worklog attributes

How to add worklog attributes to a team?

By the default your team does not have any worklog attributes, but you can select necessary worklog attributes from the Worklog attributes list.

To add a worklog attribute, please click on Add attribute button.

On the opened modal dialog you can see the list of worklog attributes, that can be added to your team. You can choose a worklog attribute which will be used in your team by clicking on a checkbox near necessary attribute.

After selecting the worklogs please click on Add to add them to your team.

Please note, that:

  • the list of worklog attributes is managed by your Jira administrator. If your team needs a specific worklog attribute, which cannot be found in the list, please contact your admin.

  • you can change the default option of a worklog attribute, that will be shown for your teammates as the default (preselected) after adding the worklog attribute to the team.

  • you cannot add more than 5 worklog attributes.

Changes will be saved automatically.

How to manage worklog attributes?

As a team lead you can edit the default value of a worklog attribute. The default option of a worklog attribute is set according to the default option on the configuration at the moment of adding the attribute to the team.

To manage the default option, please click on the drop down in the worklog attributes table near the attribute you want to change and select desired option.

Changes will be saved automatically.

How to remove worklog attributes from a team?

As a team lead you can edit the list of worklog attributes, which can be used in your team. You can delete any added worklog attributes from the team.

To delete an attribute from the team, please click on the recycle bin icon in the worklog attributes table near the attribute you want to delete.

On the opened modal dialog please confirm your acton by clicking on Delete.

Changes will be saved automatically.

Please note, if you have some worklogs that were created before you deleted a worklog attribute, logic of displaying and processing worklog data is following:

  • if you apply any group or filter options, worklogs which contain deleted attribute will be shown as worklogs with Undefined value;

  • if you edit a worklog, which contains deleted worklog attribute, you will not see deleted attribute in the modal dialog. Only actual worklog attributes of team will be shown and actual worklog attributes will be saved after editing worklog.

How to track billable hours?

If you are working with the clients, you might be interested in Billable attribute. This attribute can be used to mark the worklogs, that should be added to the customer invoice.

Billable toggle is the system worklog attribute. You can allow your team members to use Billable worklog attribute by adding this attribute to the team as any other worklog attributes.
