Permission Monitoring for Confluence

Overview

One requirement that occurs in many global data protection regulations is that you must always know who is able to access personal data. In some projects and use cases, you will process personal data, and you need to document who has access to it.

Our module Permission Monitoring allows you to do it quickly and easily.

Permissions Monitoring page

Open the Confluence administration section using the settings button at the right top corner and choose any item in the dropdown menu. After that, you will see the sidebar — find the Data Protection and Security Toolkit section and Permissions Monitoring in it. Click on it and view the Permissions Monitoring page.

Permission Types

The module provides the ability to track and display 2 types of permissions:

  • Historical permissions — a history of all permissions changes for a user, group, or space,

  • Current permissions — a list of all current permissions for a particular user, group, or space.

Select the desired type using the radio button in the upper right corner of the page.

To view the history of permission changes, select a user, group, or space and click on the Filter button in the top right corner. You can set the exact event type and dates if you want to narrow your search.

Let's look at these parameters in detail:

Select a username from the dropdown menu. If this field is filled in, then the Users in Group and the Space fields are not active.

Users in Group

Select a group name from the dropdown menu. If this field is filled in, then the User and the Space fields are not active.

Space

Select a space name from the dropdown menu. If this field is filled in, then the User and the Users in Group fields are not active.

Event type

All

You can view all events by default or choose one of the event types:

Space permissions: in this case, you’ll see the history of any permissions changes in the space (e.g., permissions for user, group).

Space events: in this case, you’ll see the space creation/removal history and any space changes.

Users and groups: in this case, you’ll see the history of adding users to groups and removing them from groups.

Date from

Empty

You can leave this field empty or set the start date for your search.

Date to

Empty

You can leave this field empty or set the end date for your search.

Sort by

Date descending

Select a sorting type from the dropdown menu to organize your results by:

  • Date descending

  • Date ascending

  • User

  • Event type

 

The filter results will be shown in a table format. In this table, you can see when the permission was changed (Date column), who has changed the permission (Author column), who has the permission (User or group column), what exactly was changed (Event type column), and information about the permission change itself (Details column).

To start new filtering, just click on the Clear button in the top right corner and select another user, group, or space.

To view the current permissions, select a user, group, or space in the appropriate fields. In the result table, you can see what space the permission belongs to (Space column), who has this permission (User column), is this permission individual or for a group (Permission type column), and the permission itself (Permission column).

To start new filtering, just click on the Clear button in the top right corner and select another user, group, or space.

Export results

You can export both historical and current permissions in a CSV format by the Export button in the top right corner.

 

Now, you are ready to monitor any permission changes in your Confluence!
