Privacy Policy for Plugins and Apps

The protection of personal data is central to Actonic Products. Hence, Actonic Products has used all technical and organizational means to comply with the regulations on data protection. This privacy policy is intended as an amendment to the software license terms.

About this document

This privacy statement covers all products by Actonic Products GmbH and shows how we use and protect our customers' information ("you") provided to us. By using any of our products or services, you accept the practices outlined in this privacy policy.

This privacy policy applies to both personal information (which can be attributed to a specific individual) and non-personal information collected by us. We will not share information with anyone other than our subcontractors, bound by these privacy practices.

Customer Data/System

We do not have any access to customer data beyond the information provided by Atlassian Marketplace for evaluating or purchasing our products, and are not going to change that in the future. Therefore, we do not use this data, e.g., analysis, except for data anonymized by Atlassian.

Actonic Products' Cloud Apps

Also, in our cloud apps, no personal data is stored or forwarded to third parties. Only meta and configuration data is stored using an anonymized user ID. The apps fetch all relevant data from the Cloud and calculate all data directly in the user's browser.

All metadata is stored in the Atlassian Cloud. The cloud app is hosted and operated in a German data center — this is also where the data is located. The data is not deleted automatically, but on request to support. In addition, we ensure that all stored and anonymized data is logically separated so that the actions of one user do not affect those of another.

Means of processing

To obtain and modify data in the Cloud, our apps use public REST APIs. For example, using the Cloud REST API, we obtain issues and work logs to calculate reporting information.

Support

If you have any problems using our products, you may contact our support team. Depending on the issue, we may request log files, which you can give to us. All log files, including any data transferred with them, are only used to analyze and solve your issues, nothing further.

Actonic Products is not only providing a world-class data protection toolkit for the Atlassian tool stack, but we are also actively implementing our own workflows to make sure the personal data of customers is safe. Therefore, we will delete all client support tickets that contain personal information three years after they have been resolved. After this time, we can assume that this data is no longer relevant and can be removed.

Security vulnerabilities

We continuously strive to keep our products and data secure for you. If you detect any security vulnerability, please contact our support team, and we will immediately find a solution to the issue.

Cookies

For products that work with browsers, we use cookies to store user information for the duration of the visit and until the next visit at a later time. A "cookie "is a small amount of data stored on the hard drive of the user's computer.

In-App Statistics

As software developers, we are very interested in the anonymous usage statistics of our apps. Anonymous usage statistics help us develop and improve our apps to meet customer needs. Hence the reason behind collecting anonymous statistical usage data. Only apps developed by Actonic Products transmit the data to us.

The following data will be transmitted:

  • IP address

  • Metadata

  • Technical information related to your device system and use of the product(s)

The data mentioned above will be transmitted to our server-based in Germany with every request from the user's computer. The transmission of IP and metadata only occurs because it is technically impossible to send static usage data via the Internet. Upon the arrival of the data on our server, the anonymous usage statistics are separated from the IP address and the metadata, thus completely anonymizing the usage data for purely static analysis. This is because the IP address and the metadata are immediately deleted simultaneously, without any further processing with the deleted data taking place.

For the processing the anonymous static usage data itself, the EU-DSGVO is inapplicable (Recital 26 of the EU-DSGVO). After collection, the data is then transmitted to a server hosted by Google Ireland Ltd. Gordon House Barrow St. Dublin 4, Ireland. The IP information is then separated from the anonymous usage statistics, so assigning the data to a specific user is no longer possible.  We then take the pure data to begin analysis of the usage.

At no time can we assign this anonymous statistical usage data to a specific person. Consolidating this anonymous statistical usage data with other data sources cannot and will not be carried out.

The short-term processing of IP and metadata for the transmission of static usage data is technically imperative. The short-term processing of the IP and the metadata is based on our legitimate mutual interest (Art. 6 Para. 1 S.1 lit. f. EU-DSGVO), namely to receive and evaluate the anonymous usage statistics to improve the apps in the interest of the customers. 

For the processing the anonymous static usage data itself, the EU-DSGVO is inapplicable (Recital 26 of the EU-DSGVO).

Right to demand Information

You are entitled to request information on the personalized data saved with respect to you, on the origin of this data, and on the purpose of the processing at any time.

Amendment of Privacy Policy

We reserve the right to amend this privacy policy at any time. In case of any significant amendment, you will be informed via email.

Email

Contact data provided by the Atlassian Marketplace throughout evaluating or purchasing our products will be filed and evaluated. This data will, for instance, be used to send relevant information to you, to make using our products more efficient and fun.

Upon accessing our website, data like the IP address of your computer, used browser, date, time, and retention period will be logged. This data is exclusively used for statistical purposes to improve our internet services and, if applicable, for contacting you. For data analysis, Google Analytics is used. Information generated by cookies relating to usage of this website will be passed on to a Google server in the USA and saved there. By using our opt-out function (orange window at the top of the screen), you can prevent data from being logged and analyzed by Google Analytics and the social media providers by deactivating the contents in the future. However, we point out that by this time, data has already been logged and possibly submitted. Furthermore, we do not log and save any personalized data (e.g., name, address, phone numbers, or email addresses) unless you voluntarily provide us with such data (e.g., with a contact- or application form). Voluntarily provided personal data is handled in the strictest confidence by us and is exclusively used to serve the purpose of responding to your inquiry, and is never forwarded to third parties.

Please note that data transfer on the Internet (e.g., during communication by email) may have security gaps. Therefore, complete protection of data from interception by third parties is not possible.

As a result, we expressly object to third-party use of contact data published following the editorial requirements for the transmission of not expressly solicited advertising and information material. We reserve the right to take legal action in such cases.
